1. Policy & Purpose
In each academic term (Summer, Fall, Spring), instructors teaching credit courses will be expected to verify each of the official class rosters assigned to them in order to finalize student participation.
Verification of rosters will assist the Financial Aid department with the necessary information to accurately comply with Title IV funding requirements by the Department of Education, as well as other scholarship requirements.

1. Procedure
To maintain the integrity of the College’s registration and attendance records, instructors of all credit-bearing courses are required to verify the accuracy of their course rosters and submit them to the Office of the Registrar through the College’s electronic roster verification system.
- Roster verification must be completed on the date dictated by the Registrar. Instructors are responsible for confirming:
- All students attending the course are officially registered.
- All students officially registered are participating in the course. Participation in a course is defined by Title 34 of the Code of Federal Regulations 600.2.
- Any discrepancies, such as unregistered attendees or absent registered students, are reported as required.
Timely and accurate roster verification supports compliance with federal and institutional reporting requirements and ensures accurate financial aid processing, enrollment reporting, and academic records.
